Frequently Asked Questions

Which AI assistants does this work with?
Any assistant that supports MCP (the Model Context Protocol) as a remote connector - the protocol itself is what we have tested directly against this connector. Invio already runs the same connector mechanism for its own tools with Claude and ChatGPT (see the AI invoicing and Connect your AI pages), so we expect both to work here the same way. We have not tested every AI product on the market, and we are not going to claim one works until we have - if a setup guide is missing for the assistant you use, ask us and we will tell you honestly where that stands.
What happens when my assistant wants to change something?
It can't post the change to Xero directly. Your assistant hands the draft - a new invoice, or a contact edit - to Invio, which shows you exactly what it wants to write and to which organisation, and holds it. Nothing reaches Xero until you approve it inside Invio. If you never approve it, it never happens.
What happens if nobody approves a draft?
It expires 24 hours after your assistant drafted it, and nothing is written to Xero. The expired draft stays visible in your history, so you can still see what was proposed even after it lapses.
Who on my team can approve a change?
On Starter, that's just the account owner - there's no other login on that plan. Growth and Business let you invite people with a role: Owner, Approver (can approve or reject drafts) or Viewer (sees the same queue, but can't act on it). Every approval is recorded against the person who made it at every tier; browsing that record by name inside Invio, rather than just knowing it exists, is a Business-tier capability.
Can my assistant read data without approval?
Yes. Reads run straight through - invoice lists, contacts, profit and loss, balance sheet, who owes you money. That is the point of being able to ask a question. The approval gate is on writes only: creating or changing an invoice, a contact, a credit note, or a manual journal.
Can it work across all my Xero organisations at once?
Up to the number on your plan, yes - but it is worth being precise about the mechanism. Each read is answered per organisation: your assistant asks the same question of each one you have authorised and puts the answers together for you, rather than one call somehow spanning all of them at once. In practice that means you can ask once and get a combined answer without reconnecting, and it also means a call can never accidentally cross into an organisation you have not authorised - there is no field anywhere for your assistant to name a different one.
Is this an official Xero product?
No. Invio is an independent connector built on Xero's official API. We are not affiliated with, endorsed by, or certified by Xero, and we say so on every page.
What Xero permissions does it need?
You authorise through Xero's own OAuth screen and choose which organisations to include. You will need advisor-level, or standard-with-reports, access on each organisation you connect. You can revoke access from inside Xero at any time, and we lose it immediately.
Where does my financial data go?
It is read from, and written to, Xero through the official API for the operation you asked for. We do not retain your transaction, account, or report data afterwards - what we do keep is your encrypted Xero tokens, the list of organisations you have authorised, and a record of which tool was called, when, and against which organisation, for the audit trail. Credentials are encrypted and never appear in logs.
Is my data used to train AI models?
Not by us, and not by Xero's terms, which prohibit it. What the assistant's own provider does with your query is governed by your agreement with them, not with us - check their current terms before you rely on that.
Who is responsible for what gets posted?
You are. Invio shows you every change before it happens and records who approved it, but the approval is a human decision and the entries are yours. Review what your assistant drafts the way you would review anyone else's work before it goes in your books.
What if I switch assistants later?
Point the new one at the same connector link from Settings. Your Xero authorisations and everything Invio knows about your organisations stay where they are - there is nothing to migrate, and no need to re-authorise Xero.
