If the ATO has moved you from quarterly to monthly GST reporting, the change is larger than the extra paperwork suggests. It is not a different form. It is a different rhythm.

The ATO has done this in waves. In one of them it wrote to 3,500 small businesses to say their reporting would move to monthly, for a minimum of 12 months. It was not random: those businesses had a history the ATO describes as non-payment, late lodgment or incorrect reporting, and had not responded to earlier contact. If you think the change was wrong, there is a review process with objection rights, which the ATO says it explains when it changes your cycle.

This article is about the part the letter does not mention: what monthly reporting does to your week, and what makes it easier.

What actually changes

Your BAS goes from four times a year to twelve. That is the whole change, and it is bigger than it sounds.

Quarterly reporting lets admin pile up. You can raise invoices from a notebook, keep receipts in the ute, and sort it out in the fortnight before the BAS is due. Four times a year, that is survivable.

At monthly, the pile never gets a chance to form, and neither does the catch-up week. The figures have to be right more or less continuously, because there is always a lodgment within a few weeks.

The ATO's stated reason is exactly this: monthly reporting is meant to help a business keep on top of its obligations and build good habits, rather than fall further behind.

Where it goes wrong first

It is rarely the lodging that breaks. It is the three weeks before it.

  • Invoices raised late, or not at all. A job finishes on site, the invoice gets written on Sunday, and two of them are forgotten. At quarterly you catch it. At monthly it lands in the figures you just lodged.
  • GST worked out per invoice, by hand. One rate, applied across every invoice twelve times a year, is twelve chances to be out by a little.
  • Nothing in one place. If the record of what you invoiced lives across a notebook, a phone and an email folder, you rebuild it every month instead of every quarter.

What helps, whatever you use

Raise the invoice when the work ends, not when the paperwork mood strikes. The single biggest cause of a wrong monthly BAS is an invoice that was never written down.

Let the GST be calculated once, at the point the invoice is made, rather than reconstructed later.

Be able to pull one period's invoices on demand. On a monthly cycle, the question "what did I invoice last month, and how much GST is in it" gets asked twelve times a year. It should be a download, not an afternoon.
