Getting your invoicing right in Australia starts with one decision most guides skip: is the document you are issuing a tax invoice, or just an invoice? The two are not interchangeable, and which one you are allowed to issue depends entirely on whether you are registered for GST. Tax Invoice or Just an Invoice? It Depends on GST Registration

In Australia, "tax invoice" is not a generic label you can put on any bill - it is a specific document with a legal meaning, and it is only for GST-registered businesses.

  • Registered for GST? You issue a tax invoice. The words "Tax Invoice" must appear on it, it must show GST, and it must carry the ATO's required details (covered below).
  • Not registered for GST? You issue a normal invoice - not a tax invoice. You must not use the words "Tax Invoice" and you must not show a GST amount or charge GST on the sale.

This is the single most useful thing to get right as an Australian sole trader who has not yet crossed the GST threshold: calling an ordinary invoice a "tax invoice" and adding a GST line when you are not registered is not just a labelling slip, it misstates what the document is.

When Do You Need to Register for GST?

You must register for GST once your business turnover is, or is expected to be, A$75,000 or more in a 12-month period. You have 21 days from the date you reach or expect to reach that threshold to register. Note that an ABN is not the same thing as GST registration - you need an ABN first, then you register that ABN for GST once you are required to (or choose to).

You can also voluntarily register below the threshold if you want to claim back the GST on your business expenses. Once registered, your GST activity is reported on your BAS (Business Activity Statement), not a separate "GST return".

Australian Tax Invoice Requirements: A Compliance Checklist

The ATO scales what is required to the value of the sale. For most trade invoices - between A$82.50 and A$1,000 - a compliant tax invoice needs seven details:

  • The words "Tax Invoice" stated prominently
  • Your identity (business or trading name)
  • Your ABN
  • The date the invoice was issued
  • A brief description of the goods or services supplied, with quantity where applicable, and the price
  • The GST amount, shown separately, or a clear statement that the price includes GST
  • The extent to which each sale on the invoice is a taxable sale, if any line items are GST-free

The obligation to provide a tax invoice at every value tier is request-triggered: if a customer asks for one, you must give it to them within 28 days. For sales of A$82.50 or less, you don't have to provide one even on request. Above that, once a customer asks, the same seven details apply, plus the buyer's identity or ABN once the sale reaches A$1,000. Most businesses (Invio included) issue a tax invoice automatically on every sale as good practice - that's a choice, not a separate legal requirement on top of the request-trigger above.

Notice what is not on that list: there is no requirement for a sequential invoice number. It is genuinely good practice - it makes your own records and any ATO review far easier to follow - but it is not one of the ATO's required fields, and you should not treat it as one. Worked GST Calculation Example

Here is how the numbers look on a real invoice. An electrician completing a switchboard safety upgrade itemises the job as follows (or use the GST calculator to check the maths instantly):

Total payable (incl. GST): $380.00 + $38.00 = $418.00

The invoice shows each line excluding GST, the subtotal excluding GST, the GST amount separately ($38.00), and the total the client actually pays ($418.00). Because the total sits between A$82.50 and A$1,000, this invoice needs the seven required details above - it does not need the buyer's identity or ABN, which only kicks in at A$1,000 and over.

Quick GST formulas to remember:

  • To add 10% GST to an exclusive price: multiply by 1.1 (e.g. $380.00 × 1.1 = $418.00)
  • To find the GST in a GST-inclusive total: divide the total by 11 (e.g. $418.00 ÷ 11 = $38.00 GST)
  • To find the GST-exclusive amount from an inclusive total: divide by 1.1 (e.g. $418.00 ÷ 1.1 = $380.00)

Common Tax Invoice Mistakes to Avoid

  • Using "Tax Invoice" without being GST-registered: Only GST-registered businesses may use this wording or show a GST amount. If you are not registered, issue a plain "Invoice".
  • Missing ABN: Your ABN is a mandatory field on a tax invoice, not optional. It also matters even before you are GST-registered - a business client who pays you without an ABN on the invoice may be required to withhold tax from the payment (see below).
  • Wrong date: Use the invoice issue date. It is one of the required fields.
  • Unclear GST treatment: Show the GST amount separately, or clearly state that the price includes GST. Do not leave the reader to guess.
  • GST calculation errors: The most common mistake is applying an NZ-style 15% or dividing by the wrong number. Australian GST is 10%, and the inclusive-to-GST shortcut is dividing by 11, not 15 or 23.
  • Missing buyer details on invoices of A$1,000 or more: Add the buyer's identity or ABN once the sale reaches that threshold.
  • Charging GST when not registered: You cannot charge or collect GST if you are not registered for it.
